Replacing an instrument, consolidating rooms, or updating your practice can leave you with equipment you no longer use.
Before requesting a purchase or trade-in offer, gather a few details. A clear description helps a buyer understand what you have and reduces the need for repeated follow-up questions.
Identify the exact instrument
Start with the manufacturer and model. Include the approximate year if known, and share the serial number privately with the buyer when requested.
For systems with a computer or software, note the version if you can identify it. Avoid guessing when information is unavailable.
Describe its current condition
Explain whether the instrument is currently in use, when it was last operated, and whether it has any known faults.
Mention error messages, missing components, cosmetic damage, or intermittent problems. If service records are available, include them in your inquiry.
An accurate description helps the buyer assess the equipment and identify any further information needed.
Take clear photos
Useful photos include:
- The complete instrument from several angles.
- The model label.
- Included accessories and components.
- Visible wear or damage.
- The operating screen, if appropriate.
Keep patient information out of photos and documents.
List what comes with it
Specify whether the offer includes a table, computer, footswitch, cables, lenses, carrying case, manuals, or other accessories.
If you plan to retain any components, say so at the start. This helps everyone evaluate the same package.
Explain pickup requirements
Share the equipment’s location and any access limitations, such as stairs, narrow doorways, or restricted pickup hours.
Let the buyer know whether the instrument is still installed and when it could be available. Agree on packing and transportation responsibilities before moving it.
For equipment that stores patient information, follow your practice’s approved data-removal process before transfer.
Mention your replacement plans
If you’re interested in a trade-in, include the type of equipment you want to purchase and your preferred timing. This gives the conversation a useful starting point.
A purchase or trade-in offer depends on an evaluation of the specific instrument; sending an inquiry does not guarantee an offer.
